1. Parties and show

This Agreement is between The Black Fashion Week dba TBFW ("TBFW") and the designer or brand who signs this Agreement ("Designer"). It covers the show the Designer is cast in. The show's name, date, venue, call time and deadlines are sent in the show-details email after the Designer is confirmed.

2. Free participation

There is no fee to show. For the show, TBFW provides:

  • A runway segment for the number of looks agreed at casting
  • Models assigned by TBFW, trained through TBFW's 6-week program
  • Backstage access and a dressing area
  • Show photos and video (Section 8)

TBFW decides selection, lineup and running order.

3. Optional sponsorship

The Designer may choose to buy a TBFW sponsor package (Bronze $500, Silver $1,500 or Gold $3,000) or the $500 Designer Spotlight add-on. Benefits are those listed in the TBFW Sponsorship Proposal. Sponsorship is optional, does not guarantee selection, and does not change the Designer's obligations in this Agreement. Sponsorship fees are non-refundable unless TBFW cancels the show.

4. Designer responsibilities

By the deadlines in the show-details email, the Designer will:

  • Submit the look list, model sizes, music or mood notes, and an accessories list
  • Deliver garments, accessories and any shoes or props clean, pressed and labeled by look number and model
  • Attend the fitting and rehearsal, and be available at the show for dressing and quick changes
  • Give any hair, makeup or styling direction in advance; bring their own stylists or dressers only with TBFW's approval
  • Collect all garments within 24 hours after the show

5. Models and fit

TBFW assigns models based on the sizes and looks submitted. The Designer may request changes by the deadline given, but TBFW's decision is final, and last-minute changes depend on availability.

The Designer will treat every model with respect, give clear direction, never ask a model to wear an unsafe garment, and never ask a model to change in an unsafe or non-private area.

6. Garment care and risk

TBFW and its staff will handle garments with care, but the Designer provides garments at their own risk. TBFW is not responsible for loss, theft or damage, except where caused by TBFW's gross negligence. The Designer is encouraged to insure their garments and keep a record of each item's value.

7. Intellectual property

The Designer keeps all rights to their designs, names, logos and collection. The Designer confirms they own or have the rights to everything they present and that it does not infringe anyone else's rights. The Designer allows TBFW to use the Designer's name, logo and look images to promote the show.

8. Photos, video and media

TBFW owns the photos and video it makes at the show and may use them permanently on its website, app and social media, in marketing and sponsor materials, in publications including the TBFW magazine, and in TBFW's television and streaming series. TBFW will credit the Designer where practical.

Within 30 days, TBFW will send the Designer a selection of edited images of their looks. The Designer may use them to promote their brand, crediting TBFW and the photographer.

9. Conduct and confidentiality

The Designer will follow venue rules and staff direction, and respect models, volunteers and other designers. The Designer will keep non-public show details, the lineup and internal decisions private, and will not post backstage content before the show. TBFW may remove a Designer or a look for unsafe, disruptive or discriminatory behavior.

10. Cancellation and no guarantees

The Designer will give at least 14 days' notice if unable to take part. TBFW may cancel, reschedule or change the show for safety, venue or other reasons and will tell the Designer promptly. If TBFW cancels, any sponsorship fee paid is refunded. Taking part does not guarantee sales, press, sponsorship or future bookings.

11. General terms

This Agreement and the show-details email are the whole agreement for the show. Changes must be in writing and signed by both parties. If any part is unenforceable, the rest stays in effect. Tennessee law governs. Disputes go first to good-faith discussion, then mediation, then the courts of Davidson County, Tennessee.
